This policy explains how Innquire Ltd handles personal data in connection with our marketing website at innquire.uk and our guest-experience platform. We are committed to handling personal data lawfully, fairly, and transparently under the UK GDPR and the Data Protection Act 2018.

1. Who we are

Innquire Ltd ("Innquire", "we", "us") is a company registered in England and Wales (company number 17057385), with its registered office at 7 Browne Close, Brentwood, England, CM14 4WG. Our registration with the UK Information Commissioner's Office (ICO) is in progress; our data-protection registration reference will be added here once issued.

Our role under data-protection law depends on the data in question:

  • We are the Data Controller for personal data collected through this website and in the course of our own sales, marketing, and business operations (for example, when you contact us or book a demo).
  • We are a Data Processor for the personal data of hotel guests that our customers process using our platform. In that context the hotel is the Controller and our processing is governed by the Data Processing Agreement within their Master Services Agreement (see section 5).

2. Scope of this policy

This policy primarily covers personal data we collect as a Controller through the marketing website. Our handling of guest personal data on behalf of customers is governed by our customer contracts and Data Processing Agreement; section 5 summarises it.

3. The personal data we collect

When you use this website, we may collect:

  • Enquiry data — the name, email address, hotel/organisation name, role, and message you provide through the "Talk to us" form.
  • Demo-booking data — if you book a demo, the details you submit to our scheduling provider, Cal.com (such as your name, email, and chosen time).
  • Technical and security data — limited information your browser sends, such as IP address and request metadata, processed by our hosting and security provider (Cloudflare) to keep the site available and secure.

We do not use analytics or tracking on this website.

We do not knowingly collect special-category data through this website, and the site is not directed at children.

4. How and why we use your data (lawful bases)

We use the personal data above for the following purposes, relying on these lawful bases under Article 6 UK GDPR:

  • To respond to your enquiry and arrange demos — lawful basis: our legitimate interests in responding to people who contact us, and taking steps at your request prior to entering a contract.
  • To operate, secure, and maintain the website — lawful basis: our legitimate interests in running a safe, reliable website.
  • To comply with legal obligations — for example, responding to lawful requests or keeping records we are required to keep.

Where we ever rely on consent (for example, optional marketing emails), you can withdraw it at any time without affecting processing already carried out.

5. Guest data and our role as a processor

When a hotel uses our platform, guests may share personal data through the chat experience (for example, their name, room number, requests, and the content of their messages). The hotel is the Controller of that data and decides how it is used; Innquire processes it only on the hotel's documented instructions, under a Data Processing Agreement that sets out security measures, confidentiality, sub-processing, assistance with data-subject requests, and breach notification. If you are a hotel guest and want to exercise your rights, please contact the hotel; we will assist them as required.

6. Who we share data with (sub-processors)

We do not sell personal data. We share it only with service providers who process it on our behalf under appropriate contracts. For the marketing website these are:

  • Cloudflare — website hosting, content delivery, and security.
  • Resend (sending via Amazon SES, EU/Ireland region) — delivery of contact-form emails to our inbox.
  • Cal.com — demo scheduling.
  • Google Workspace — our business email, where enquiries are received and stored.

Our platform uses additional sub-processors (including AI and infrastructure providers such as OpenAI, Amazon Web Services, and Stripe) to deliver the service to customers; the current list is maintained in, and kept up to date through, our customer Data Processing Agreement.

7. International transfers

We aim to keep personal data within the UK and European Economic Area. Where a provider processes data outside the UK/EEA (for example, certain AI providers in the United States), we rely on an appropriate safeguard recognised under the UK GDPR — such as UK "adequacy" regulations or the International Data Transfer Agreement / Addendum to the EU Standard Contractual Clauses — so your data receives an equivalent level of protection.

8. How long we keep it

We keep enquiry and demo-booking data for as long as needed to handle your request and our relationship with you, and then for up to 24 months, unless we are required to keep it longer (for example, for legal or accounting reasons) or you ask us to erase it sooner.

9. Your rights

Under the UK GDPR you have the right to:

  • be informed about how we use your data (this policy);
  • access the personal data we hold about you;
  • have inaccurate data corrected;
  • have your data erased in certain circumstances;
  • restrict or object to our processing;
  • data portability; and
  • object to processing based on legitimate interests.

To exercise any of these, email privacy@innquire.uk. We will respond within one month. If you are unhappy with how we handle your data, you can complain to the ICO at ico.org.uk, though we'd appreciate the chance to put things right first.

11. Security

We take appropriate technical and organisational measures to protect personal data. You can read more on our security page. No method of transmission or storage is completely secure, but we work to protect your data and to respond promptly to any incident.

12. Changes to this policy

We may update this policy from time to time. We will revise the "Last updated" date above, and for material changes affecting customers we will provide advance notice.
